Draft for UK Signature Homes to approve. Prepared 11 October 2026.
Who we are
UK Signature Homes Limited (company number 13029531) decides how the information you give us through this website and the Home Passport is used. In data protection law that makes us the "controller". Our registration with the Information Commissioner's Office is being confirmed, and its number will be shown here.
For anything about your information, email info@uksignaturehomes.com, call us on 0800 654 6844, or write to UK Signature Homes Limited, 150, G1 The Grange, Romsey Road, Michelmarsh, SO51 0AE.
When you send us an enquiry
The enquiry form on this website asks for:
- your name and email address
- your phone number, if you choose to give it
- what your enquiry is about, and your message
- your tick to say we may contact you about your enquiry
With it we record the page you sent it from (and the development, on a development page), when you sent it, and which version of this notice was in force.
We use it only to reply to you about your enquiry. Our lawful basis for this is your consent, which you give with the tick box on the form, and, if you are buying a home from us, the steps we take at your request before a contract. We do not add you to a mailing list, and we do not sell your information or pass it to anyone for their own marketing.
Your enquiry is emailed to our enquiries inbox (info@uksignaturehomes.com) and a copy is kept in the website's database. The form has two quiet checks against automated spam: a hidden field that people never see, and a check that the form was not sent faster than a person could fill it in. Neither involves tracking you.
We keep enquiries in the website's database for 24 months, or 48 months if we are still in conversation with you. If you ask us to stop contacting you, we mark your enquiry and it is deleted from the database that night. Copies in our email inbox are kept only for as long as we need them to deal with your enquiry.
The Home Passport
The Home Passport is the secure online record of a home we have built: its certificates, warranties, manuals, maintenance guide, the businesses that built it and photographs from the build. It is for the people who own the home, and it passes to each new owner when the home is sold.
If you have a Home Passport account we hold:
- your name, email address and, if you add it, your phone number
- your sign-in details (your password is stored by our database provider in a scrambled form that nobody, including us, can read back)
- which home you own or have reserved, and the dates
- if you ask for a home's passport: the completion date and note you give, and any proof of purchase you upload
- the reminders you choose to receive
- a record of the files you open, and of your sign-ins (including the device's IP address and browser), kept for security
- notes our staff write about your home or your requests
We use this to give you access to your home's records, to check that someone asking for a passport really owns the home, to send the reminders you choose, and to email you about your own home (for example when your passport is ready, or when someone asks for it). We never send you marketing through the Home Passport. Our lawful basis is providing the Home Passport service you have asked for, and our legitimate interest in keeping a lasting record of each home we build.
The home's own documents belong to the home and stay with it for its whole life, for every future owner. Some of them, such as a warranty certificate, may name the first buyer. Contracts, ID, mortgage or bank details and anything about your finances, health or family are never put in the Home Passport.
When you sell your home:
- your access ends on the day the sale completes
- your sign-in is closed 30 days later
- your email address and phone number are removed 12 months later, with any enquiries you sent as an owner and the staff notes about you
- your name is replaced with "Former owner" after a set period, which we are finalising
- the dates you owned the home stay with the home's history for its whole life, linked to a record with no name or contact details
The record of files opened and the sign-in records are kept for 24 months. A device you signed in on is signed out after 90 days without use.
Who else handles your information
We use a small number of companies to run the website and the Home Passport. They handle your information only on our instructions:
- our website hosting provider, Vercel
- our database and file storage provider, Supabase, which stores enquiries, Home Passport accounts and the homes' documents
- our email sending provider, Resend, which delivers the website's emails, and our email provider, Google, which holds our inbox
Our website runs in London, and our database is in London. Our email sending provider works from Ireland, in the European Union, which UK law recognises as protecting personal information properly. Google may store our inbox outside the UK; where it does, it uses the safeguards UK law requires, such as approved data transfer agreements. We share information with anyone else only if the law requires it.
This website loads nothing from other companies: its fonts are served from our own site, its maps are pictures, and the Instagram and Facebook links are ordinary links. Those sites have their own privacy notices once you visit them.
Cookies
The public pages of this website set no cookies. The Home Passport uses cookies only to keep you signed in. Our cookies page explains both.
Your rights
Under UK data protection law (the UK GDPR) you can ask us:
- for a copy of the information we hold about you
- to correct anything that is wrong (Home Passport owners can change their own name and phone number in their account)
- to delete your information
- to limit how we use it, or to stop using it
- for a copy of information you gave us, in a form you can pass to someone else
- where we rely on your consent, to withdraw it at any time
Some rights depend on the reason we hold the information. For example, while you own a home its Home Passport needs your account. We will reply within one month and explain anything we cannot do. There is normally no charge.
Complaints
Please tell us first, on 0800 654 6844 or by writing to UK Signature Homes Limited, 150, G1 The Grange, Romsey Road, Michelmarsh, SO51 0AE, so we can put it right. You can also complain to the Information Commissioner's Office (ICO): call 0303 123 1113 or write to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
Changes to this notice
If we change how we use your information, we will update this notice and its date. The version in force when you send an enquiry is recorded with it.
